Unclassified Vacation Earnings

Faculty and academic staff members who hold an annual appointment and are participants in the Wisconsin Retirement System (WRS) are eligible for paid vacation. Eligible employees receive 22 days (176 hours) per fiscal year (prorated to percentage of appointment).  Academic year employees do not accrue paid vacation.  Vacation accrual and use records are kept on a fiscal year basis (July 1 through June 30).  The reference for vacation policy is Unclassified Personnel Guidelines #9 at http://www.uwsa.edu/hr/upgs/upg09.pdf.


WRS eligibility is linked to contract length, percentage of appointment and prior WRS service.  Please contact Human Resources if more information is needed. (608.785.8013) for m To be a participant in the WRS the employees needs to have a contract for at least one year and be more than 28% for academic year employees or 21% for annual appointments.


Leave Statement

Employees must complete a leave statement monthly in keeping with Wis. Statutes, Section 40.05(4)(bp).  Employees and their supervisors must sign all leave reports. Leave reports should be submitted to the employee's supervisor for signature by the 5th of each month and forwarded to Human Resources by the 10th of the month. Supervisors are responsible for ensuring the information on the leave report is accurate. The leave report in Human Resources is the official permanent record of paid time.

You should know your appointment ID number to add to the generic form.  It can be found on the upper corner of your leave statement.


Leaving the University or Retirement

Staff, with annual appointments, terminating their employment with the UW System should utilize their vacation credits prior to formal termination. When this is not possible unused vacation will be paid off the next payroll after the last regular check.  If an employee is transferring to another State Agency or university, refer to http://www.uwsa.edu/hr/upgs/upg09.pdf.  Campus Policy #267 dated 8/28/01 states that rehired annuitants must use their leave and it can not be carried over or paid off.
