Scholarship and Awards Committee Meeting 11/16/05, 4:30 pm

Present: Jeff Boyle, Brad Butterfield, Victoria Calmes (Convener), John Colton, Robert Richardson, Barb Katrana (UWL Scholarship Coordinator), Amber Graff (student member).

Absent: Mary Anderson, Greg Balfany, Abdulaziz Elfessi, Bryan Kopp, Ezekiel Hellenbrand (student member), Kelli Zelinger (student member).

1.      Introductions were made.

2.      Victoria Calmes was unanimously elected as chair.

3.      John Colton was unanimously elected as secretary.

4.      Comments on recommendations made by last years’ committee:

a.       As recommended, it was decided that for scholarships having less than 30 applicants, committee members should rank all of the students (1 through the total number), instead of just ranking the top several applicants. For scholarships having more than 30 applicants, committee members should rank the top 30.

b.      As recommended, Barb has added some lines to the scholarship application requesting specific financial information from students applying for scholarships where financial need may be considered.

c.       The separate subcommittee of 2 members for the Gay, Kent, and Lebiecki scholarships should exist, as was done last year.

5.      Notes on particular scholarships:

a.       All committee members will review the West and Thrune scholarships, and the Murphy awards.

b.      It was decided that Colton and Boyle would be on the subcommittee to review the Gay, Kent, and Lebiecki scholarships.

c.       All other committee members will review all remaining scholarships.

6.      The following timeline was agree upon:

a.       ~Jan 9: Scholarship applications will be made available at the reference desk in the library

b.      by Jan 25: email rankings of all scholarship applications to Victoria, except the Thrune scholarship and the Murphy award

c.       Wed Feb 1, 4:30 pm: We will hold a meeting to discuss and finalize the rankings for all scholarships except the Thrune scholarship and the Murphy award (to be held in the same place, the conference room in the Cleary Center)

                                                   i.      If this date/time is a problem for you, please let Victoria know!

d.      by Feb 13: email rankings of Thrune scholarship and the Murphy award to Victoria

e.       Web Feb 15, 4:30 pm: We will hold a meeting to interview the Thrune candidates, and to discuss and finalize the Thrune scholarships and Murphy awards.

                                                   i.      If this date/time is a problem for you, please let Victoria know! This might not be too flexible though, since (a) Wed is the most accessible night for high school students, and (b) the students will not be able to arrive at UWL much before 4:30 pm (maybe 4:00 pm??).

ii.      This is likely to be a problem with our student members who have a conflicting meeting at 6:00 pm.

7.      If you have suggestions for questions to ask the candidates in the Thrune scholarship interviews, please email them to Victoria.

The meeting was adjourned at ~5:20 pm.
