GCA Printing Information

!Pay-for-Printing Update! 9-18-2009

  • Duplexing (2 sided printing) has been turned off in the GCA Labs and Classrooms. This will correct the issue of being charged for 2 pages when you are only printing 1. If you require duplex printing you can enable it on a per print job basis by selecting properties in the print dialog box, then click duplex(2 sided) printing, and pressing ok, then print. Please note, this setting will not be saved.

Print Cost Recover (Pay-for-Print)

There will now be a cost associated for printing in all GCA Facilities. This includes: Wing rooms 02, 06, 07, 15, 17, 103, and 130; Murphy Library Reference Area and Murphy rooms 150, 153, and 273; Wimberly rooms 202, 216, and 217; Cartright 264; and all of the Residence Hall computer labs.

This system has been put in place to address paper waste and the rising cost to support printing in the GCA Facilities. The charge to students is 6 cents a page for black and white printing and 90 cents a page for color printing.

All students will receive 60 cents at the beginning of the fall and spring semester for printing. The account balance will roll over between the fall and spring semester. There are NO REFUNDS. The 60 cents/semester is to cover issues such as printer jams and other errors.

Faculty, Staff, and those individuals with miscellaneous accounts CAN NOT print in any GCA room listed above. (Please note that students will be charged for anything printed in the classroom.) If you would like assistance creating alternate methods for students to submit papers or aquire notes  please contact Jim Jorstad in Education Technologies or TJ Teegan in the ITS Support Center.

Refund Policy for Mistakes and Withdraws:

  •   Students who apply more money then they intended on their Pay-For-Printing account will incur a $5 service charge for requesting a balance adjustment. The request is made via email to itssupport@uwlax.edu with in one week from the date when the incorrect amount was entered.

  • A student who officially withdraws from the University can request a refund on their balance, less a $5 service charge, if the request is made prior to the published “last day to withdraw from the University”. Send an email requesting a withdrawal refund to itssupport@uwlax.edu

How the System Works:

When one sends a print job to the printer a window opens on the screen displaying: the job name, the number of pages, the job cost, a current balance, and  a  new balance after the job has printed.  To proceed with printing the job, click on “Ok” to send the print job to the print queue.  To delete the print job, click on “delete”, or, if you do not click on either the ok or delete button, your job will automatically be deleted after 5 minutes. Once you have chosen to print, a second message will appear telling you that the print job has been paused and placed in the print queue.  At that point you can go to the release station located near the printer(s), log in with your 8.4 credentials and view your print job(s) waiting to be printed. Select which print job(s) to print and press “resume”. Once you release the print job to the printer you have been charged for it and your account balance has been updated.

 When your print balance is low and you wish to add money to your account, go to https://gca.uwlax.edu(only available ON CAMPUS) and login with your 8.4 credentials. Then, select “Pay-For-Printing” from the menu on the left. You will be able to add money to your account immediately and continue printing. You can also view your printing and transaction history.

How to add money to your account:

Once you have logged in to https://gca.uwlax.edu(only available ON CAMPUS) and selected “Pay-for-Printing” from the menu on the left, click on the “Add Money” to your account link. Enter a dollar value you wish to add to your account balance (the value must be greater than $1.00 and less than $50.00). Once you have entered a value, click “OK”.  On the following confirmation page. Make sure the value you want to add is correctly displayed (be certain the amount is right, there are no refunds) and press “Yes”. If a typo was made and you wish to change the value click on “No” and enter a new value. Once the transaction is complete you will receive a transaction id for your records.  You can then view your transaction and printing history by clicking on the link, go back to the pay-for-print home page, or log out. Once you have added funds to your printing account you can access them immediately.

How to view your printing and transaction history:

 Log in to https://gca.uwlax.edu(only available ON CAMPUS) and select “Pay-for-Printing” from the menu on the left, then click on the “View Printing and Transaction history” link. You can select either “Transaction History” or “Printing History” (or switch back and forth). Click on a beginning date on the first calendar and then select an end date from the second calendar. Your history will appear below the calendars. You can adjust the start and end dates at any time.  If you with to export either your transaction or your printing history to a csv (excel) file, press the “Export Data File” button and save the file.

Print Release Stations:

Print Release Stations have been placed in every lab. You will need to release your print job(s) from the release station using your 8.4 account. The Release Stations have been put in place to help reduce printing cost/waste in the GCA Computer Labs.

To help reduce the costs of printing please follow the following guidelines.

  • Use electronic resources first.
  • Use the "Print Preview Option" to check accuracy before printing.
  • Reprint only INDIVIDUAL pages that have corrections.
  • Print ONE copy to submit and electronically save a copy for your electronic portfolio.
  • Do not print emails or web pages unless you absolutely need to.
  • Send documents via email to others instead of distributing paper copies.
  • Verify that what you are printing is what you want, or need. Make sure to check print preview and only print the pages of a document you require, instead of the entire document.
