POLICY

Definitions:

This policy is for leaves other than those covered under The Family Medical Leave Policy, Funeral Leave, Sick Leave, Military Leave or Annual (Vacation) Leave.

Unclassified

For purposes of this policy, a leave of absence without pay is temporary separation of faculty or academic staff members from the University, with the expectation that they will return.

Unclassified

A request for a leave of absence without pay of one year or less is initiated in writing by using the Formal Request for Leave of Absence. The request is submitted initially to either the supervisor and division officer or the department chair and the dean and requires the affirmative recommendation of the Provost and the approval of the Chancellor. The decision whether to approve the leave typically is based on the needs and funding of the unit. Once approved by the Chancellor, documentation is forwarded to Human Resources for recording, processing and filing in the employee’s file.

Ordinarily, a leave of absence is granted for a maximum of one year. However, under appropriate circumstances a leave may be extended up to one additional year. An extension requires the affirmative recommendation of the department, the dean, and the Provost with the final approval of the Chancellor.  

 

An extension approved by the Chancellor beyond one year is contingent upon the staff member returning a signed agreement acknowledging that failure to return at the conclusion of the approved leave period constitutes a resignation (as stated in Regent Resolution #5364).

 

An extension of a leave of absence beyond the second year must be recommended by the Chancellor and approved by the Board of Regents.  Only under unusual circumstances will an extension be forwarded to the Board of Regents it may not be open ended, but must be for a fixed period of time (Regent Resolution #5364).
