STEP 1:  APPROVAL TO RECRUIT & ADVERTISE CHECKLIST

       Obtain Academic Staff /Administrative Search Recruitment Packet—available from the HR website.  If a recruitment is cancelled at any time after you have been approved to advertise OR if the deadlines for receipt of materials are changed, please contact recruit@uwlax.edu and nguyen.tiep@uwlax.edu immediately; AAD, P/VC DO/Dean can make the decision to close a search and should be copied so we all have the information.

       Complete Sections 1-3 of the Authorization to Recruit (pink sheet) (consult with A&F on positions and budget and HR on title and salary ranges); Division Officer (DO) assigns a recruitment number (e.g. 01ACC02 where 01 refers to the fiscal year of 2000-01, ACC refers to the Accountancy Department, and 02 refers to this being the second search in this unit this fiscal year)

       Complete the Recruitment Efforts Plan (salmon form) with AAD

       Complete the Vacancy/Position Announcement (yellow form) for use in advertisements as well as posting on our website.  Please click here for Vacancy Form InformationCreate your vacancy advertisement, following the format exactly.  The paper copy is delivered with the packet; the electronic file is sent as a WORD attachment to HR (recruit@uwlax.edu) to put on the UW-L Vacancy web page.

       Create search and screen procedures, including open meetings and other necessary points (see sample on web)

       Create position description with major duties and percentages for each responsibility (see sample on the web)—not required for instructional academic staff

       Create selection criteria from position description, that will form the basis for hiring (see samples on the web)

       COMPILE ALL OF THE ABOVE, PLACE THE ACADEMIC STAFF/ADMINISTRATIVE ROUTING SLIP (from the cover of the recruitment packet) ON THE TOP OF THE DOCUMENTS AND DELIVER TO DIVISION OFFICER, WHO FOLLOWS THE ROUTING SLIP ORDER

       HR e-mails DO/Dean, Department Chair/Director, Search Chair, and AAD that the packet has arrived and is approved by all appropriate parties; HR faxes or E-mails ONLY the yellow form to Advancement and External Relations (AER) for advertising (all advertising locations must be on this form); returns the pink sheet to the DO/Dean; creates recruitment file and adds vacancy to the web using your electronic mail submission

       Search Chair, in consultation with the DO, contacts AER to proceed with advertising.  ADVISE AER if you need to see ads before placement

          Chair sets up record keeping using the Routing Slip for Completion of Academic Staff/
           Administrative Recruitment on the back cover of the Packet as a guide.  This is critical
            to maintain records.  Address any questions to HR
