Classrooms are scheduled after the class schedule has been finalized.
Classes have first priority.
Classrooms can be scheduled for exams, meetings, classes, etc.
Scheduling of Cartwright Center
Is on a first come/first served basis.
Students, faculty, staff, and administrative organizations may reserve rooms for weekly meetings for up to one semester in duration.
The organization reserving the room is responsible for the room during its use.
Users may rearrange rooms, but the rooms must be put back to its original configuration, or a fee will be assessed.
Room set-up charges
Rooms 330, 331, 332, and 340 the "standard" set up may be changed at no fee, if done
24 hours prior to the scheduled event.
Rooms 259, 326, 337, 339, and the Ward Room can be physically arranged per request of the user when given a minimum of
48 hours notice.
Requests with less than 48 hours notice will be honored, but a set up fee will be charged.
Set ups in Valhalla must be requested one week prior to the event.
Rooms which are designated as open public areas (Port
O'Call, Main Deck, State Room, La Crosse Room, and the TV Lounge) may only be reserved through special permission. Information regarding procedures for requesting these areas is available in the Scheduling Office.
NOTE: Groups will be assessed charges for extraordinary cleaning required after an event and/or damage to the facility or equipment. Additionally, set up changes requested with less than a 24 hour notice will be assessed a late fee.
Reservations for Same Day Study Rooms
Will not be taken after 2:00 p.m.
Exceptions are study rooms, which may be scheduled beginning at 4:00 p.m. for that evening.
Reservations after 2:00 p.m. for the following day will need to take the room as is currently set up.
Reservations made after 2:00 p.m. for the following day will not appear on the TODAY Schedule posted at building entrances.
Center staff reserve the right to remove unofficial meeting notices from corridor walls, and meeting room doors/windows.
Study rooms may be reserved on a daily basis (Monday - Friday).
Study rooms for the weekend may be reserved on Friday.
Decorations
Hanging of decorations will not endanger any of the participants.
All decorations will be hung with masking tape. (The exception is Valhalla, where duct tape is needed)
At the termination of the event the decorations must be taken down by the sponsoring organization, or a removal fee will be charged.
All supplies are the responsibility of the user.
Tacks will not be used.
No confetti or glitter.
Food/Beverages
Due to the university's policy, health licensing restrictions, and contract with the university food service contractor, all foods/beverages utilized in Cartwright Center must be arranged through
Catering
Services.
Food and beverages brought into the building from outside vendors or restaurants will be removed.
Organizations sponsoring ethnic dinners and bake sales must secure approval from the University Centers.
Organizations may schedule brown bag lunches if arrangements are made through the scheduling office.
Candles
Due to fire regulations, use of open candles are not allowed in Cartwright Center; however, enclosed candles for catering events may be used if approved by Associate Director of University Centers.
