Virtual Appointment Information


In an effort to keep students, employees, and community members safe, our counseling and academic skills services are only being provided via phone and video conferencing at this time.  Below you will find more information about CTC remote services.

Triage Appointment Information expanding section

If you are scheduled for a Triage appointment: 

  • Check out your MyHealth portal 
    • To login, enter your UWL NetID (or sign-up for an account if you are a WTC student) and password (same password as your UWL email account) 
  • Two items need to be completed in your MyHealth portal before your appointment. Both items will be available roughly 24 hours before your scheduled appointment.  
    • 1. Completion of our Client Questionnaire - located in your Appointments tab. 
    • 2. Review and complete our 'CTC Informed Consent with Telehealth' Form - located in your ‘Forms’ tab.
      • Some students will also need to respond to a Secure Message in their ‘Messages’ tab titled "Informed Consent with Telehealth."
  • Please update your profile information in the 'Profile' tab to make sure we have up-to-date information, especially your current residence (where you are staying right now) and your emergency contact. 
  • Await your appointment time. Your Clinician will be calling the phone numbeyou confirmed while setting up the appointment. 
Intake Appointment Information expanding section

If you are scheduled for an Intake appointment:

  • Check out your MyHealth portal and complete all the necessary paperwork detailed above (Triage appointment steps).  
    • If the paperwork was completed the current academic school year (on or after August 31, 2020) please disregard this step.  
  • Before your appointment startstwo surveys will need to be completed: 
    • 1) Behavioral Survey (BHM20)
    • 2) Alcohol Screening Survey. Both surveys are located in your MyHealth portal in your ‘Surveys’ tab. Please complete both surveys between "check in" and joining a video session. 
  • Clinician may contact you via your MyHealth portal in your Messaging tab about video conferencing options. Instructions for checking in and accessing your private video meeting link are located within that message.
    • If you do not receive a Secure Message you will be contacted for your appointment via phone.
  • Access your meeting link no sooner than 5 minutes before your scheduled appointment. 
Individual Appointment Information expanding section

If you are scheduled for an Individual appointment: 

  • Check in for your appointment in the 'Appointments' tab of your MyHealth portal. A Behavioral Survey (BHM20) will be located in your ‘Surveys’ tab of your MyHealth portal between check in and joining your meeting link.  
  • Each appointment will have a unique link available in the appointment tab just prior to the appointment time.  
Academic Skills Appointment Information expanding section

If you are scheduled for an Academic Skills appointment: 

  • Check out your MyHealth portal and complete all the necessary paperwork detailed above (Triage appointment steps).  
    • If the paperwork was completed the current academic school year (on or after August 31, 2020) please disregard this step.  
  • A Message regarding video conferencing options will be available via your MyHealth portal in your Messaging tab. Instructions for checking in to your private video meeting will be located in that message
  • Access your meeting link no sooner than 5 minutes before your scheduled appointment.

Private Appointment Locations

If you are lacking a safe, private space where you can be alone for your appointment, check out reservable locations available at the COVE located in the Union. Please note that individuals who are not connected with our office will be able to access responses. 

Additional locations for private space can be found in Centennial Hall (2306, 2307, 2308, 3306, 3307, & 3308).

These locations will not provide the technology needed and sanitization is not guaranteed. Please call with any questions or concerns.

Tips for Creating a Private Space for an Appointment

  • Be alone
  • Shut door/s and window/s
  • Turn on a radio, tv, or white noise machine outside of your space
  • Use headphones
  • Schedule your appointment during a time when others may not be around

 


*Counselors' personal rooms will be "locked" so that they can be sure they are admitting only you at the time of your appointment. Please do not attempt to enter the room more than five minutes prior to your appointment time. Also, please do not try to reach a counselor via Zoom or WebEx at times you are not scheduled to meet. They may be meeting with other students and unable to speak with you, and counselors do not monitor private rooms at all times. Zoom and Webex are not platforms for accessing crisis services.*
