UWL is committed to student success and providing students with early alerts regarding academic concerns is one aspect of retention efforts. PRO@UWL (progress reports online) allows instructors to provide feedback during the 5th week of classes regarding academic concerns. The use of PRO@UWL by all faculty/instructors is highly encouraged. If a concern is indicated, the student receives an email and can access the feedback through Navigate. For any questions, please contact navigate@uwlax.edu

How to use the system

  • Student:  Log in to uwlax.campus.eab.com to review feedback. 
  • Instructors: At the beginning of the 5th week of classes during the Fall and Spring semester, you will receive an email with a link to provide feedback.  Alternatively you can login to uwlax.campus.eab.com and select 'Professor Home' and then 'Fill out Progress Reports.'  Please use the submit button even if you do not have concerns about any individual student. By indicating no concerns, you will no longer receive reminders and will be counted as having participated in the early alert process.
  • Advisors (professional or faculty): Early alert feedback can be viewed on the individual student profile on Navigate.
 
Why should an instructor use the system? expanding section

UWL instructors and faculty are committed to student success. PRO@UWL also allows UWL to follow-up with students who receive 2 or more alerts from their instructors.

The scholarship on student success clearly indicates that students need feedback regarding their progress early enough in the semester to be able to correct problematic behaviors in time to affect academic outcomes. Research indicates that "mid-semester" feedback is too late. In addition, students with timely feedback may be better able to make choices regarding withdrawals. Faculty and staff active in the academic application of Inclusive Excellence were consulted regarding the timing.  

Is the use of the system mandatory? expanding section

No. The use of PRO@UWL is voluntary but highly encouraged, especially for the early identification of behaviors associated with poor academic outcomes AND for promoting communication with students regarding advising. 

Should I include a statement in my syllabus? expanding section

Instructors who plan to participate actively in the PRO@UWL system are encouraged to add a statement to each syllabus - suggested wording is provided in the UWL syllabus template

When would an instructor use the system? expanding section

Around the 4th week of classes, instructors will receive an email encouraging them to provide feedback on students enrolled in their courses by the end of the 5th week. A reminder will be sent. Student receive and email and are encouraged to review the feedback in Navigate.

Navigate can also be used anytime a faculty/staff member wishes to submit feedback through an ad-hoc alert; however, the student is not notified and cannot see the feedback.

Which students should receive the early alert feedback regarding their progress during the semester? expanding section

Any student who is having academic difficulty or appears to be at risk of not being successful in the course is a prime candidate for feedback.  Positive feedback to students is always encouraged through other forms of communication; Navigate is designed to indicate concerns.

Unlike Eagle Alert, the PRO@UWL system does not allow us to differentiate between groups of students so no specific groups of students will be highlighted.  Rather your entire class list will appear.

How does an instructor enter information regarding a student? expanding section

Instructors can enter the system via Navigate:

  1. Through the email from the Provost's Office requesting early alert feedback via PRO from instructors, OR
  2. Through logging in to Navigate, selecting Professor Home and then entering feedback.

Staff can enter the system via Navigate to enter an ad-hoc alert:

  1. Look up the individual student and then select 'Issue an alert' on the right hand side menu. The student is not notified and cannot see the alert feedback.
What does "feedback" mean? What does "academic progress" mean? expanding section

The focus of PRO is on behavior rather than "just" a course grade. The system was designed to reflect common concerns associated with behaviors associated with poor academic outcomes with a simple check box. An instructor may check the box and/or provide written commentary to elaborate or reflect an additional topic in a text box. Consequently, "feedback" refers to an alert reason being selected and/or written comments submitted on a student. See options here.

Academic progress refers to behaviors and/or assessed work in the class. Although some courses, disciplines, and/or faculty find it easier to provide early feedback than others, the research indicates that it is positive for students to have a sense of their trajectory in a course as early as possible. Although a standard exam or paper may not yet be graded, students may have completed quizzes, assignments, lab work, D2L discussions, quizzes on syllabi content, or the like for a class. For courses that require the use of D2L, students who have not logged into the system early in the semester are likely to be at risk. 

Who can see the feedback? expanding section

The student will be notified when feedback is provided through PRO. The student's advisor(s) can see the feedback on an individual student's profile page within Navigate.  Ad-hoc alert feedback cannot be seen by the student.

Advisors, instructors, and UWL personnel with a FERPA recognized "need to know," and with proper clearance within Navigate based on their role, will be able to access the information.  Generally speaking, only individuals with the proper clearance and a legitimate educational interest should access the information available for purposes such as: providing a service or benefit relating to the student such as advising or job placement, or otherwise performing a task related to the effective functioning of the University. Furthermore, you may not disclose student information in any form to anyone except another instructor/staff member with a need to know. Personal interest or the simple fact that you are a university employee with access does not constitute a "need to know."

Can an instructor edit or change his/her feedback? expanding section

No, once the feedback has been submitted through PRO it is immediately available to students.

What if a student wants to discuss and/or change the feedback? expanding section

Students are encouraged to discuss the feedback with their instructors.  In fact, this is an ideal outcome and we hope the system facilitates this discussion.

If an issue remains that needs resolution, the student should contact the department chair overseeing the department under which the course is offered. 

Why is this system separate from Canvas? expanding section

It would seem natural to have a more automatic relationship with Canvas and a system like PRO. However, at this time, Canvas is unable to offer us that option. Even if Canvas were to interface with PRO, the benefit of this system is the ability for the student, their advisor(s), and other instructors to be able to see feedback that has been provided - a possibility that Canvas' individual course structure cannot provide.

Who was involved in designing the system? expanding section

PRO@UWL was developed with the Navigate Leadership team, based strongly off of the work done to establish Eagle Alert.  A faculty pilot group provided feedback to make minor enhancements to the previous system.

The Eagle Alert work group (representing faculty, AAC, OMSS, Student Life, the Writing Center, the college offices, and IT), and the Advising across the College Career Work group (representing faculty, AAC and the college offices). Two primary groups were involved in the development in the content of the system. The initial group consisted of:

PRO@ allows instructors to quickly indicate if there is a concern about a students' academic progress. Any comments entered will be seen by the student. Provide comments if they will be useful to the student and elaborate on concerns enough to aid future interactions.

Instructors do not need to provide comments but may consider indicating an action, a possible consequences of not following attending to the concern, or referrals of a non-sensitive nature.

  • I encourage you to come speak to me at my office hours. 
  • It is important to access Canvas because all course homework is  available there and is submitted to me through Canvas. 
  • I encourage you to utilize the Writing Center for your next paper. 

Don't

No need to include subjective judgments about the student (especially when they are negative).

  • I doubt student's ability to succeed in this course.
