Contract-Addendum timeline

An Addendum to an existing Memorandum of Understanding (MOU) is a document that establishes the specific programming relationship between UWL and an established partner university. This document details specific curriculum and budget information.

This document may be created in conjunction with developing an MOU.  The process takes some time in order to develop the academic requirements and sequencing of courses. It is also necessary to develop a budget that may offer a discount to the international students. All documents, including curriculum and budget forms, must have approval prior to submitting for signatures. The development and approval process may take several months (6-9 months) for completion. 

Steps 1, 2, and 3 - Two Months

 Step 1 - Discuss partnership plans with the Dean of the College/School who will discuss with the Provost.  The Dean will meet with the Vice Chancellor for Administration and Finance to begin discussing program fees for future negotiation.

Step 2 - Identify an academic plan for the international partner (e.g., degree study, 1+3, 2+2 , 3+1, format, etc.).

Step 3 - In communication with the international partner and in partnership, develop curriculum requirements to be completed at home campus and identify appropriate courses to be completed at UWL in order to fulfill the academic plan.      

Step 4 - Two Months

Request course descriptions (in English) from partner institution and forward to Admissions for transfer credit evaluation.  Additional information required by Admissions includes: 

  • How courses are taught (semester vs. quarter basis)
  • When the courses are offered (fall, spring, summer)
  • How many hours/credit are granted

If this is an exchange program, the courses being completed by the UWL student abroad will also have to be evaluated for transfer back to campus. Admissions will confer with respective faculty and departments for course approvals.

Steps 5 and 6 - One Month

Step 5 - After Admissions' review and approval of transfer credits, establish course sequencing schedule to keep students on track with their program.  Department Chairs and the College Dean must be made aware of the sequencing and apprised of the number of students participating in the program so that seats are available in the required classes.

Step 6 - ESL instruction may be required if the student does not meet UWL's language scores.This may affect the program format and should be noted when developing the program structure. 

Step 7 - Two Weeks

Addendum/Contract draft should be submitted to the IEE Director for review. The Director will discuss budget options (discounted tuition vs. scholarship) so the best option for the program is identified.  

Step 8 - Two Weeks

Budget worksheet must be completed and reviewed by IEE Budget Manager prior to submission for approval. If appropriate, winter intersession and summer session must be included in the program fees.

Step 9 - Two Weeks

Two copies of the finalized Addendum/Contract and Budget Worksheet must be submitted to IEE for final review and forwarded for appropriate signatures.
