Please use this link to access the online SEAF Form.  For actions that will hire more than 10 student employees, please use this Excel File (do not modify the column headings) and then send it to hrinfo@uwlax.edu

Student On Boarding Information

  • Complete the Student Employee Action Form
  • The form must have all required fields filled out. If any are missing, the form will be returned via email to you.
  • Please note, that if you are hiring a student into a new role, the action should be "New hire"; even if they have been previously employed in a different role on campus. 
  • Make sure to include accurate employment dates (the first date the student will report to work, including training). 
    • IMPORTANT: Please note that student employment positions cannot exceed the current academic year.
  • The form must be completed at least 10 business days prior to the beginning of employment. This is required to allow time for new employees to complete all needed paperwork and for HR to complete processing of CBC’s and create the job record in the system.
  • Email the completed form to hrinfo@uwlax.edu 
  • If you plan on hiring more than ten (10) students, please fill out this excel spreadsheet for your hires. HR will convert this spreadsheet to individual student employee action forms on your behalf.
  • Both the W4 and Direct Deposit forms for students to fill out are now available electronically. With this change, students are not able to complete these forms until their first day of employment. Please allow time for students to fill these out on their first day to allow for proper payroll processing.

Supervisors can log into the BP Logix system to review the status of their student help. Supervisors will be notified via email when the onboarding process begins and when the student has completed the required paperwork to begin employment.

The Student Onboarding Process is exclusively communicated via email to the email address provided to Human Resources by their Student Employment Supervisor.  Student Employees should carefully monitor their emails for instructions on the requirements to fully complete their onboarding. 

While UWL uses an onboarding system that allows employees to easily complete most of their new hire paperwork online. Employees will still be responsible for providing I-9 identity verification documents. Onboarding and I-9 verification must be submitted and received by HR at least 5 business days prior to the beginning of employment to ensure timely processing.
