WorkDay & the Banked Leave Process

Please read below for instructions on how to bank leave in WorkDay.

An Announcement will appear on the Workday home screen for employees who are eligible for the Banked Leave time off plan. This announcement will be visible after the payroll that contains June 30 has been calculated and will remain visible until September 30. (NOTE: The announcement may not be the first announcement that you see. If the Announcements tile on your Workday home page has arrows and a number, you may click the arrows to scroll through your announcements.)

Complete Your Banked Leave Election

  1. Click on the Complete Banked Leave Election announcement to open the full announcement.
  2. Review the full announcement text then click the Banked Leave Election Form button.
    WARNING: Clicking this will take you to a separate secure website.
  3. Your default internet browser will open to the external leave banking site. Click the Login via SSO button.
  4. Login with your UW credentials.
  5. Review the instructions on the leave banking landing page, then click the Start Leave Banking button.
  6. Review your specific Banked Leave conversion eligibility and complete the election fields.
    • Vacation Available as of 6/30: This is sum of the Vacation Available and Vacation Carryover that you had as of June 30 and this is the maximum time off that you have available to convert.
    • Upper Conversion Limit: This is the maximum time off that you may convert based on your eligibility under the vacation policy (see linked policies above).
    • Hours to Bank: you may convert the lower amount of your Vacation Available as of 6/30 and your Upper Conversion Limit. This eligible amount is outlined in the form under the Hours to Bank field.
    • Hours to Be Paid Out: Employees with University Staff vacation eligibility who have met the eligible years of service may choose to convert a portion of their total Hours to Bank. If you are eligible for a payout, you will see this box on your form and the eligible amount will be listed below the field.
  7. Review all details on the page and the bolded agreement. Once the submission is complete you will not be able to edit your election on your own and would need to reach out to UWSS via email at  gethelpUW@support.wisconsin.edu for assistance if you need to make changes.
  8. After confirming elections, click Submit.
  9. NOTE: If there are any errors, you will receive a message and need to make updates before clicking Submit again.
