WorkDay: Requesting Time off VS Requesting a Leave of Absence

Requesting Time Off in WorkDay can be done by following the steps below:


  1. From the Workday Home Page, click Menu.
  2. Click the Request Absence app.
    NOTE: The Apps and Edit buttons within the Menu can be used to add, reorder, or delete apps from the list.
  3. Click the day(s) on the calendar to select days off.
  4. Click Continue.
  5. Select the Type of Absence -- **TIME OFF**.
    NOTE: Vacation, personal holiday, etc are selected after choosing TIME OFF.
  6. If you have multiple jobs, select the job the request is for in the Position field.
  7. Review the absence details and adjust as needed.
    NOTE: The Quantity per Day will default to the number of hours scheduled to work that day. Click Edit Individuals Days to modify the number of hours per day. 
  8. If you are requesting two different types of time off, view the Requesting Multiple Types of Time Off below to determine the best way to request this. 
  9. If you have multiple jobs, select the appropriate position that this time off request should be applied to. 
    NOTE: Employees who are considered non-exempt or less than full time, will report time worked and leave in 15-minute increments.
    Employees who are considered exempt and are full time, will report leave in full day and half day increments.
  10. Click Submit Request.


Requesting a Leave of Absence (this will generally REMOVE you from payroll):


  1. From the Workday Home Page, click Menu.
  2. Click the Manage Absence app.
    NOTE: The Add and Edit buttons within the Menu can be used to add, reorder, or delete apps from the list.
  3. Click Actions.
  4. Then click Select Date Range.
  5. Enter the Start Date and End Date of the Leave of Absence.
  6. Click Continue.
  7. Under Type of Absence, select Leave of Absence, then specify the appropriate LOA.
    NOTE: If unsure which leave type to select, consult with the institution HR department or select the leave type that most closely matches the anticipated need.
  8. Click Continue.
  9. In the Request Absence pop-up window, confirm the information in the following fields:
  10. Type of Absence – Confirm the LOA type selected.
  11. Optional: Last Day of Work – Confirm the last day working before the LOA begins.
  12. First Day of Absence – Confirm the beginning date of the LOA.
  13. Estimated Last Day of Absence – Confirm the estimated date of return of the LOA.
  14. Optional: Comment to Approver – Enter a comment to the approver of this LOA.
  15. Optional: Reason – Select a reason for the LOA.
  16. Supporting Documents – No supporting documentation will be submitted via Workday.
    WARNING: Please do not submit any medical documentation.
  17. Click Submit
