WorkDay for Managers: Entering Time On Behalf of Your Employees = No Longer Permitted

The Fair Labor Standars Act (FLSA) requires that employers keep accurate records of non-exempt employees' work hours.

Historically, many managers have entered time on behalf of their direct reports. With the implementation of Workday, this practice is no longer permitted. Moving forward, employees are required to enter their own time for several important reasons:

1. Employee Accountability

  • Direct time entry promotes personal responsibility and ensures accuracy in reported hours.

2. Protection of Employee Rights

  • When managers enter time on behalf of employees, it may compromise employees’ rights in wage disputes. Self-entry helps preserve these legal protections.

3. Legal and Institutional Risk

  • Allowing others to enter time can expose the University to significant legal risks. Ensuring employees enter their own time helps maintain compliance and reduce liability.

4. Fairness and Transparency

  • This change helps eliminate the perception of favoritism and supports a more equitable work environment.
