Intramural Sports Participant Handbook
Forfeits
If team wishes to forfeit a contest, they must complete the online forfeit form by 2:00 pm the day of the scheduled contest. Sunday games must be forfeited by 2:00 pm on the Friday prior. Failure to complete this form prior to 2:00 pm will result in a forfeit fee to be paid before the next scheduled contest: $20 for team sports and $10 for individual/singles/doubles sports. The captain is responsible for the forfeit fee and this fee can be paid in IMLeagues.

Rules will not change during a season but are examined following the conclusion of each season and/or semester.

General Rules Overview
General Rules Overview
All information in this rule book pertains to the general facilitation of all intramural activities. All participants are encouraged to review the participant handbook and general rules overview prior to participating in each activity in which they are interested.
UWL Rec Sports welcomes all students and faculty/staff members meeting eligibility guidelines. Participants may compete in the gender league with which they identify.

- Team Registrations and Entry Fees
- Registrations and entry fees are processed online via IMLeagues. Registration periods are listed in IMLeagues and online via the List of Sports webpage. Instructions on how to register teams and how to pay can be found via the Forms and Videos webpage.
- Entry fees vary by activity and are dependent on the number of participants required to meet roster minimums along with the number of officials and/or scorekeepers needed to facilitate a contest. Fees are paid by team captains as part of registration and are payable online via IMLeagues.
- Captain’s Quiz and/or Pre-season Meeting
- Captains (or a team representative) are required to attend a pre-season meeting in officiated/scorekept activities. Aal team captains are required to take an online rules and handbook quiz and score 100% to complete the registration process for a team. The quiz will contain general policy and activity-specific rule questions in multiple choice or true/false format.
- Participant Registration
- Individual participant registrations/roster additions are also done via IMLeagues. Instructions on how to complete this process can be found here.
- All participants are required to pass a brief quiz with a score of 100% AND electronically sign a participation waiver to be added to a team. It is the responsibility of each participant and team captain to ensure individual eligibility.
- Team Schedules
- Team schedules for regular season and playoff contests are published in IMLeagues. All team members will receive emails when schedules are available to view. Teams may also receive memos throughout the season via email outlining items such as schedule changes and upcoming playoff information.
- Forfeits
- If a team cannot participate in a scheduled contest, the team captain should fill out the forfeit form. Forms must be submitted BEFORE 2:00 pm on the day of the contest. Teams that submit the form after 2:00 pm will be charged a forfeit fee: $20 for team sports and $10 for individual/singles/doubles sports.
General Policies
- No ID, No Play
- Each participant must present a current, valid UWL-issued ID to the supervisor or staff member on-duty for every contest. No exceptions will be made, and no other form of identification will be accepted. Forgotten ID passes may be used for intramural contests and can be obtained at the REC info counter or Mitchell Hall office.
- Team Roster
- To be able to check into a contest, all participants must be on their team roster in IMLeagues. Anyone not on a team roster may join the roster on their personal device at the game site. Each participant is responsible for their eligibility and contests are subject to a retroactive forfeit if an ineligible roster member participates.
- Attire, Equipment and Jewelry
- Participants must wear appropriate attire and non-marking athletic footwear. Specific equipment requirements are addressed in activity-specific rulebooks. All visible jewelry (necklaces, bracelets, earrings, etc.) must be removed or legally covered prior to participation. Medical bracelets and fitness trackers may stay on.
- Injuries and First Aid
- First aid treatment will be provided by the on-duty supervisor during intramural contests. Supervisors are trained in basic first aid, CPR, and AED administration.
- Any bleeding must be stopped and cleaned before contest re-entry.
- Any participating signs and symptoms of a concussion will be removed from the field of play and monitored.
- Sportsmanship and Conduct
- Sportsmanship is important before, during and after contests. After each contest, teams are rated on a scale of 1 (unsatisfactory) to 5 (excellent) based on their behavior and conduct. Teams must average a 4.0 rating throughout the season to qualify for the playoffs. Teams and/or individuals in violation of this principle are subject to suspension from the program and must meet reinstatement guidelines.
- Refunds
- Registration fee refunds are permissible (based on circumstance). To request a refund, contact intramurals@uwlax.edu. Due to non-refundable online fees, refunds may not be received in-full.
- Team Names
- Team names must be appropriate. Captains of teams referencing anything deemed inappropriate or offensive in their name will receive a name change. Administration reserves the right to change names at any time (including playoffs and for duplicate names) and without notice, and teams may be referred to Campus Climate/Student Life based on the inappropriate nature of their name.
- Playoffs
- To qualify for playoffs, teams are required to win 1 contest, meet sportsmanship requirements, and attend a pre-season meeting (officiated/scorekept sports).
- Shared Facility Space
- Intramural sports activities take place in facilities shared by multiple departments on-campus. In some instances, recreation activities may be postponed or cancelled per facility agreements with our on-campus partners. Contests may or may not be rescheduled.
- Participant Safety and Weather
- Safety of all participants and staff is the number one focus on the program. If there is any indication safety and general well-being of any is compromised, the program reserves the right to postpone, cancel and possibly reschedule contests. This includes weather-related issues such as lightning, rain or snowstorms, and field conditions deemed unplayable due to weather and/or overuse.
- Communication Efforts
- Throughout the season and playoffs, staff may contact teams and/or individuals via UWL email, IMLeagues, or phone. Please do not ignore these messages (including voicemail) and be sure to check email filters.

Team Name Policy
Overview
One of the components that make intramural sports unique is the opportunity for all teams to name themselves. There are, however, instances when questionable team names are used. Please follow the guidelines outlined in this form when naming your team.
Competitively Unfair Names
Team names deemed competitive unfair will be changed automatically. These names may not be offensive but may cause confusion to an opponent when reading the schedule. Examples include: “You Have a Bye”, “No Game”, “Home/Away Team”, Team Spot Available”, “Cancelled Game”.
Suggestively Inappropriate and Offensive Names
Team names may not reference items including (but not limited to):
- Profanity
- Sex and/or gender inequality
- Portrays one gender as inferior to another
- Anti-trans or non-binary
- Racial or ethnic references
- Portrays one ethnicity/race as inferior to another
- Utilizing ethnic slurs
- Derogatory use of someone’s likeness
- Disparaging another person
- Physical violence
- Threats, references to sexual violence/harassment
- Distasteful cultural or societal references
- Offensive innuendos
- Innuendos that are obscene or vulgar
- Alcohol, drugs, and or other substances
- Obscene or vulgar references to drinking, being drunk, high, etc.
Duplicate Names
Duplicate team names within the same leagues will be changed to add the captain’s last name to avoid confusion with the schedule.
Disclaimer
The goal of intramural sports is to provide a welcoming environment in a way that is safe, fair, and fun for ALL involved. Team names violating these components will be changed in IMLeagues. It is not guaranteed that Rec Sports staff will catch a team name violating these policies right away, or at all. Names may be changed at any time, including playoffs.

Refund Policy

Overview
Rec Sports understands that not all teams can commit to a full season and that sometimes, life happens. Refunds are permissible, if requested in a reasonable time frame. If you need a refund, please contact intramurals@uwlax.edu as soon as possible. Refunds are not guaranteed the further a sport’s season progresses.
Reminders/Suggestions
Common situations resulting in refunds can often be avoided, please consider the following:
- Ensure no other intended team members are also registering your team
- It is recommended to have only one internet browser open
- Transactions may take time to process, do not close or refresh your browser until your registration is confirmed
- If PayPal seems to be taking a while, do NOT click to submit your payment again
- NEVER delete a registered team, this erases the payment and proof the team ever existed in IMLeagues
- If you need to change leagues, email intramurals@uwlax.edu for help
- You do not need a PayPal account to register or submit payment
Disclaimer
Rec Sports professional staff must approve all refund requests. Please contact intramurals@uwlax.edu for all refund inquiries.
Refund Policy
To be fully refunded, participants must reach out before the regular season starts. PayPal charges a $.50 fee for all refunds. To avoid this fee, participants may opt to receive credit to their IMLeagues account for future intramural sports. Participants that reach out after the regular season starts may receive pro-rated refunds based on the number of games played or opt for IMLeagues credit.
If a team registers for a league that does not fill and does not receive a schedule, the team captain will be fully refunded.
All refunds are processed directly to the card used for payment. Please allow 3-5 business days for the amount to post to your account.
